Why it exists

What goes wrong when a plan company runs on spreadsheets?

A plan sold today is a promise kept years from now. Between those two dates sit thousands of small payments, collected in the field, by people paid on commission. That is a lot of places for a record to drift.

A payment ledger per plan holder

Every plan has its own month by month ledger, with the official receipt number behind each payment. Staff can see at a glance what is paid, what is due, and how far behind an account is.

Collections that reconcile

Each remittance is entered against the collector who brought it in. Commissions, allowances and the net amount due to the office are worked out by the system, not on the back of the deposit slip.

Claims decided on the rules

When a claim is filed, eligibility is checked against your contestability periods and the status of the plan, then the claim moves through review, approval and release with each step recorded.

What does the Pre-need Platform cover?

Plan holders and beneficiaries

Application number, plan, mode of payment and beneficiaries on one record, with a duplicate check on the application number. Lapsed plans are flagged, and reinstatement follows the options you allow.

Collections and remittance

Collectors' remittances are encoded per plan holder with receipt numbers. Monthly, quarterly, semi-annual and annual payments, full payment in advance, and one-off services are all handled.

Agents, commissions and incentives

Every plan has an agent of record. Commission reports print per collector and per period, and incentives are computed per employee and per branch from actual production and collection results.

Claims

File a claim against the plan holder or a covered beneficiary. The system checks eligibility, tracks the documents requested, records the approved amount, and follows the cheque from preparation to release.

Branches and head office

Branches request funds with a receipt attached, and head office approves and marks the release. Edits to plan and payment records by branch staff wait for head office approval before they take effect.

Accounting, payroll and HR

Expenses by category and branch with a monthly income and expense report. Salary profiles, attendance from your biometric export, payslips with statutory deductions, staff loans and promotion history.

Plan holder self-check

A public page where a plan holder enters their application number and last name to see their own payment history, due date and amount due, without calling the branch.

Moving in from spreadsheets

Plan holders and payment history are imported from your existing files, with duplicate checks on the way in, so you start with your real book and not an empty system.

Controls

How does it keep collections and claims honest?

Plan companies lose money in predictable places: cash between the plan holder and the office, commissions paid on collections that never arrived, and claims paid on accounts that should not have qualified.

  • Receipt on every payment. Each payment is tied to an official receipt number, a collector and a date.
  • Commission follows the remittance. Commissions and allowances are computed from what was actually remitted.
  • Collector performance in view. Collection rates per collector show who is on target and who is falling behind, branch by branch.
  • Eligibility before payout. Lapsed plans and claims inside the contestability period are caught by the system, not by memory.
  • Head office approval. Record edits, fund requests and claims each need an approval that is recorded against the person who gave it.
  • Roles by job. Branch staff, collection supervisors, accounting, HR and administrators each see and change only what their work needs.

What is this product, and what is it not?

It is
Administration software licensed to a company, so that company can keep accurate records of its own plan holders, collections, commissions and claims. It is in production today, running a multi-branch operation.
It is not
A pre-need plan, an insurance policy, or a fund operated by Ascendryx. We do not sell plans, hold plan holder money, or decide claims. Licences, plan terms and claim decisions belong to the company and to its regulator.
